Making all participants feel welcome

Making all participants feel welcome

Code of Conduct

We aim to foster an environment of respect, making all participants feel welcome regardless of their gender, sex, race, religion, ability, sexual orientation, geographical location or personal background.

Different opinions and perspectives are crucial to effective discussion, but all attendees are ultimately responsible for their speech and behaviour, both in person and on social media, throughout the entire event and at any associated social gatherings.

With regard to the transgender community, participants will be asked for their preferred pronouns during registration on an optional basis.

Social gatherings (such as coffee breaks, lunches, or the conference dinner) provide an opportunity for participants to network and socialise. Pictures will be taken during the conference and shared on the website. We will add an item to the registration form that asks whether you agree that photos of you will be taken during the conference.

Participants are allowed to take pictures during IAWA Leiden 2027 for their personal use only. When registering, you give the organisers the permission that pictures are being made during the congress and shared via the website. If a speaker does not want any pictures of their presentation to be taken, this information must be included on the first slide of the presentation. In such a case, the participants are not allowed to take any pictures.

Accessibility

Naturalis is wheelchair accessible, but that does not apply to the boat trip. The Naturalis building is also equipped with elevators and toilets suitable for wheelchair users. If you use a wheelchair, please indicate this on the registration form. We will provide you with the necessary information and ensure smooth access.

A large part of the Hortus botanicus Leiden is easily accessible for people with limited mobility or those using a wheelchair or mobility scooter. A wheelchair-accessible toilet is available at the entrance. The walkway in the Tropical Greenhouses, the Victoria Greenhouse, and the walkway in the Winter Garden are not accessible for wheelchair users. This also applies to several garden paths with soft surfaces, such as the Fern Garden and the Von Siebold Memorial Garden. However, these gardens can still be viewed from the paved paths.

Food

During the registration process for our conferences, we offer the possibility of indicating dietary requirements, gluten free, nut free and lactose free. We serve only vegetarian (or vegan) food for all attendees and participants.

Special rooms in Naturalis

One room will also be available for prayer, silence or rest. For those rooms you will need to make a reservation via the registration form.
